Privacy Policy

Last updated:

This Privacy Policy describes how Sproutflexible ("we," "us," or "our"), operating at sproutflexible.world, collects, uses, stores, and protects personal information when you access our website, purchase digital well-being guides, wellness kits, or organisation programmes, or otherwise interact with our services related to employee digital well-being in New Zealand.

1. Information We Collect

We collect personal information that you voluntarily provide when engaging with our digital well-being products and services. This may include your full name, email address, organisation name, job title, billing address, phone number, and any messages you submit through our contact form. When you enquire about or purchase a Digital Habits Starter Guide, Team Screen Balance Workshop Kit, or Organisation Well-being Programme, we may also collect order details such as product selected, order date, and payment reference information once payment is arranged through our designated payment provider.

We automatically collect certain technical information when you visit sproutflexible.world, including your IP address, browser type, device type, operating system, referring URL, pages viewed, time spent on pages, and interaction patterns. This data is collected through cookies and similar technologies as described in our Cookies Policy.

2. How We Use Your Information

We use collected information for the following purposes related to our digital well-being products:

  • Processing and fulfilling orders for wellness guides, workshop kits, and organisational programmes
  • Delivering digital products electronically to the email address you provide
  • Responding to enquiries about employee wellness resources, workshop facilitation, and product recommendations
  • Providing customer support for product implementation, including guidance on screen balance practices and team wellness sessions
  • Sending transactional communications such as order confirmations, delivery notifications, and product update announcements
  • Improving our website, product content, and user experience based on aggregated usage analytics
  • Complying with legal obligations under New Zealand privacy and consumer protection laws
  • Protecting against fraudulent transactions and unauthorised access to our systems

3. Legal Basis for Processing

We process your personal information based on one or more of the following grounds: your explicit consent, which you provide when submitting our contact form or agreeing to our terms when placing an order; the performance of a contract between you and Sproutflexible when you confirm a wellness product order; our legitimate interests in operating and improving our digital well-being services, provided those interests do not override your fundamental rights; and compliance with applicable legal requirements.

4. Product-Specific Data Handling

When you purchase the Digital Habits Starter Guide, we retain your name and email address to deliver the product and provide one year of complimentary updates. For the Team Screen Balance Workshop Kit, we may additionally store your organisation name and approximate team size to tailor facilitator support. Purchasers of the Organisation Well-being Programme may provide employee count and departmental structure information to enable proper licence allocation; we do not require or collect individual employee personal data unless explicitly provided for customised programme delivery.

Workshop attendance records, if maintained for certification or follow-up purposes, contain only participant first names and organisational affiliation as voluntarily submitted. We do not collect health information, biometric data, or screen usage statistics from individual employees unless you explicitly provide such data in a support enquiry.

5. Data Sharing and Disclosure

We do not sell, rent, or trade your personal information to third parties. We may share data with trusted service providers who assist us in operating sproutflexible.world, including payment processors, email delivery services, website hosting providers, and analytics platforms. These providers are contractually obligated to handle your data securely and only for the purposes we specify.

We may disclose personal information when required by law, court order, or governmental authority, or when necessary to protect the rights, property, or safety of Sproutflexible, our customers, or the public.

6. International Data Transfers

While Sproutflexible is based in New Zealand, some of our service providers may process data in other countries. When personal information is transferred outside New Zealand, we ensure appropriate safeguards are in place, including contractual protections and verification that the receiving party maintains adequate security standards comparable to the Privacy Act 2020.

7. Data Retention

We retain personal information only for as long as necessary to fulfil the purposes described in this policy. Order and transaction records are kept for seven years to comply with New Zealand tax and accounting requirements. Contact form submissions are retained for two years unless you request earlier deletion. Marketing preferences and cookie consent records are maintained for the duration of your relationship with us plus one additional year. Anonymised analytics data may be retained indefinitely for product improvement purposes.

8. Data Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These measures include HTTPS encryption across sproutflexible.world, secure server infrastructure, access controls limiting employee data access to authorised personnel, and regular review of our security practices. While we strive to protect your information, no method of electronic transmission or storage is completely secure.

9. Your Rights

Under the Privacy Act 2020 of New Zealand, you have the right to access personal information we hold about you, request correction of inaccurate or incomplete data, request deletion of your data where no legal obligation requires retention, withdraw consent for processing where consent is the legal basis, object to processing based on legitimate interests, and lodge a complaint with the Office of the Privacy Commissioner if you believe your rights have been violated.

To exercise any of these rights, contact us using the details provided below. We will respond within twenty working days.

10. Children's Privacy

Our digital well-being products and services are designed for working professionals and organisational use. We do not knowingly collect personal information from individuals under the age of sixteen. If we become aware that we have collected data from a minor, we will take steps to delete that information promptly.

Our website may contain links to external resources, including Google Maps for our Hamilton office location. We are not responsible for the privacy practices of third-party websites. We encourage you to review the privacy policies of any external sites you visit.
